Practice Prism: ECE Privacy Policy

01Responsible entity and scope

This policy describes version 1.0.0 of Practice Prism: ECE, an offline Android reflection fieldbook prepared for Early Childhood Council Incorporated. It applies only to the app itself. It does not govern the Early Childhood Council website, existing member app, member portal, helplines, event services, external browser, Google Play, device operating system, or any third-party service.

02Purpose of the app

Practice Prism provides fixed educational prompts for adult early-learning service owners, governance participants, managers, professional leaders and senior educators. It supports reflective conversations about environments, teamwork, whānau communication, source currency, privacy and professional growth. It is not a membership system, compliance audit, legal interpretation, staff appraisal, licensing decision, child record or emergency service.

03Intended users

The app is designed for adults acting in a professional or governance context. Children are not intended to use the app, and the interface does not invite a child to create content or provide information. Adults remain responsible for using current authorised procedures, professional judgement and appropriate real-world decision-makers.

04Information collected or transmitted

The app does not collect, transmit, sell, rent or share personal information. It has no server, account, sign-in, analytics, advertising, telemetry, cloud synchronisation, remote configuration or in-app communication channel. The app cannot send its local review selections to Early Childhood Council Incorporated or any other party.

05Information the app cannot accept

There is no free-text field, upload control, scanner, camera capture, voice capture or contact form. The app cannot accept names, addresses, phone numbers, email addresses, centre identifiers, attendance, enrolment details, learning stories, photographs, family information, employment information, payment information, incident details or other user-created records.

06Local review state

If an adult marks a fixed reflection card as reviewed, the app stores only that card's anonymous numeric identifier in app-private preferences. It may also remember the last open workspace and one non-personal display choice. These values do not identify a person, child, whānau, employee, centre or event and are not transmitted off the device.

07Permissions and network access

Version 1.0.0 requests no Internet permission and no dangerous Android runtime permission. It does not access location, camera, microphone, contacts, calendar, notifications, Bluetooth, nearby devices or shared files. Selecting a public source can ask Android to open that URL in the user's external browser; the browser and destination then operate under their own terms and privacy practices.

08Children and child-level records

Practice Prism does not create or store child profiles, attendance, enrolment, learning, behaviour, wellbeing, health, disability, medication, safeguarding, photograph, video or family records. Never adapt a local review mark into a code for a child or case. Any necessary child-related record must be handled through the service's authorised system and current privacy and safeguarding procedures outside this app.

09Sensitive information and free text

The app cannot accept health information, disability information, ethnicity, religious belief, immigration information, employment matters, allegations, safeguarding concerns, legal advice, financial information or any other sensitive narrative. No free text is provided. A matter requiring a record or confidential discussion belongs in the approved real-world process, not in Practice Prism.

10Accounts and member services

The app has no account, membership check, login, subscription, payment, discount, event registration, survey, helpline, member portal or personalised service. It does not replace or connect to Early Childhood Council Incorporated's existing member app or services. Because no Practice Prism account exists, there is no online account to delete.

11Advertising, analytics and tracking

The app contains no advertising SDK, analytics SDK, attribution SDK, social SDK, tracking pixel, fingerprinting code or cross-app identifier. It does not build a profile, measure engagement for a remote party, serve personalised content or use local selections for advertising.

12Sharing and third parties

The app does not disclose local review identifiers to Early Childhood Council Incorporated, Google, an advertiser, an analytics provider, an employer, a centre, a government agency or any other third party. Android and Google Play may process technical information independently when the app is downloaded or updated; that processing is governed by their own services, not by this offline app.

13External sources and source currency

The Source Lightbox identifies public ECC, Ministry of Education, Privacy Commissioner and Teaching Council materials. These sources can change. A source note bundled with the app is not a live legal or regulatory update. Follow an external link only when you choose, verify the publisher, date, effective date, audience and current version, and rely on authoritative current material rather than the app's summary.

14Retention and deletion

Anonymous local review identifiers remain on the device until the user clears them, clears app storage or uninstalls the app. The Privacy and About area includes a Clear local review marks action. The app has no remote copy and therefore cannot restore or remotely delete those values. Clearing them does not alter any authorised record held outside the app.

15Backup and device transfer

Android backup and device-transfer support are disabled for this app. Local review identifiers are intended to remain inside the installed app on the current device. Device manufacturers or operating-system tools can behave differently outside the app's control, so users should still treat the physical device and its access controls responsibly.

16Security and limitations

Local preferences are stored in the app's private Android area and are not exposed through an in-app export. No software or device can be described as absolutely secure. Use an operating-system lock, install updates from a trusted store, do not share an unlocked device carelessly and avoid treating a review mark as confidential evidence or an official record.

17Professional, safeguarding and safety boundaries

Practice Prism does not determine compliance, licensing status, professional competence, employment action, legal rights, health needs or safeguarding outcomes. Stop general reflection when immediate safety, a child-protection concern, a privacy incident, an employment or legal issue, or emergency action is involved. Follow the service's current authorised procedure and contact the appropriate qualified person, regulator, safeguarding route or emergency service.

18Changes, choices and privacy contact

A future release that changes permissions, data handling, network behaviour or features will require an updated policy and Play disclosure. Users may choose not to mark any card and can clear all local marks at any time.
